How SharpQuote works

Everything happens in one WhatsApp chat. Here's the whole journey, from saying hi to getting paid, with exactly what you'll see on your phone.

1Say hi

Start a chat. Add your details.

Tap Start free on WhatsApp on this page (or save 076 381 3074 and send "Hi"). SharpQuote introduces itself and shows three buttons.

Tap Make my first quote, then tell it your business name and pick the kind of work you do. It then asks, one at a time, for your VAT status, address, email, phone and logo, so your very first quote looks like yours. Skip any of them with one tap. No forms, no passwords, no card.

2Describe the job

Send a voice note, like you'd tell a friend

Hold the microphone and talk, or type it if you prefer. Mention three things:

  • Who it's for: "Quote for Mrs Khumalo in Westville"
  • The work: "Floor tiling, 20 square metres. Skirting, 18 metres. Remove the old tiles."
  • Your prices: "R350 a square metre, R90 a metre for skirting, R1 500 for the removal."

You can also add notes like payment terms, what's excluded, a validity period ("valid for 7 days") or a deposit schedule. They go on the quote exactly as you said them.

Please speak in English. SharpQuote never guesses a price: if one is missing, it asks you.

3Check it

See what SharpQuote understood, before anything is made

You get a short summary: every line item, the total and how VAT was handled. If you didn't give something (like a saved price it used), it tells you.

All correct? Tap Looks good. Something off? Tap Change something, or just reply with the fix: "make the skirting 20 metres".

If part of a voice note was unclear, the summary lists what SharpQuote guessed, so you can check it. Typing a correction is the most reliable fix.

4Send it

Your PDF arrives. Your client accepts online.

A branded PDF quote lands in the chat. You can simply forward it to your client on WhatsApp.

Even better, send SEND Q-0012. You get a message with a private link to forward. Your client opens it on any phone or computer, sees the quote, downloads the PDF and taps Accept. You get a WhatsApp the second they do. Not going ahead? They can tell you why, so you learn what wins jobs. SharpQuote can also email it to them for you.

Need a change after sending? "EDIT Q-0012 labour 6 hours" makes an updated version, and the old link points to the latest one.

5Make it yours

Add your logo with one photo

After your first quote, send a photo of your logo. SharpQuote picks your brand colour from it and re-makes your quote so you can see the new look (this doesn't use up a free quote).

Type MENU any time to add your banking details, VAT number, address, quote numbering and payment terms. Already have a quote design you love? Send a PDF or photo of one and SharpQuote matches its look.

6Invoice

Job accepted? Invoice in one tap.

When a client accepts online, SharpQuote tells you straight away. If you haven't heard anything after two days, it asks you: "Did Mrs Khumalo accept your quote?"

Tap Yes, accepted and choose Make the invoice, or Ask for 50% deposit first. When the job's done, the balance invoice takes the deposit off for you. You can also send INVOICE Q-0012 or DEPOSIT Q-0012 any time.

Tips

For a perfect quote, every time

Name the client first

Start with "Quote for…" and the client's name. Add their address, company or VAT number if you want them on the quote.

Say quantities and units

"20 square metres at R350", "3 hours at R450", "two plugs at R380 each". SharpQuote does the maths.

Add your terms

"50% deposit, balance on completion", "valid for 14 days", "client supplies the tiles". They're printed as notes.
